Total Solutions, Inc. (TSI) is recruiting for Administrative Programs/Records Management Support to provide meeting and records management support for the Office of the Executive Secretariat, at NASA Headquarters in Washington, DC. This is a hybrid position, onsite 3 days per week.


Duties include, but are not limited, the following areas and activities.


• Set-up and support large meetings onsite and online (up to 200 attendees) using Microsoft Teams and WebEx teleconferences for Council Meetings.
• Coordinate/interface with HQ Facilities, AV techs, Conferencing techs, and IT techs that provide setup to ensure dedicated support for NASA Management Council meetings.
• Work with HQ Graphics department to create Signage for councils, when needed.
• Manage access to meeting rooms consistent with each Council meeting’s attendance policy. Manage short-term on-line access to meeting materials including real-time resolution of member issues.
• Convert final meeting materials, as needed, to machine searchable formats (e.g. OCR), to ensure accessibility and knowledge management (searchability, copy/paste capability) in final repositories
• Deliver the final version of any meeting materials changed during Council Meetings to the Council Executive, and place on NX server, with appropriate markings.
• Records Management, organize and track the status of reports, inquires, and assessments. Conduct preliminary review, categorization, and filing of historical Office of the Executive Secretariat documents, to include but not be limited to preliminary review for draft/final nature, nature/type of document based on content, broad subject of applicability, and presence of sensitivity markings. Conduct same review of newly generated OES final documents. Develop and support annual reviews of materials ready for permanent archival with NARA; manage any required decontrols; package files for transmission. Generate reports and conduct searches of past materials, as requested, to support the operational business of OES.
• Assist with automation of new systems and other surge requirements.
• Provide travel and calendar management as required.
• Select mail and package handling duties, back-up receptionist for breaks.



• Associates Degree with five (5) years or High School Diploma with nine (9) years of applicable/equivalent clerical, secretarial or administrative experience. Working knowledge of office processes and various types of office equipment and software such as a personal computer, word processor, and spreadsheets. Experience may be considered in lieu of degree.
• Familiarity with SharePoint environment


• This position is exempt, 40 hours per week, exclusive of federal holidays, Saturday, and Sunday.
• This is a hybrid position, onsite 3 days per week.
